Only license checks. While Pro is active, the app contacts our licensing service about every 4 hours with your license key, a random installation ID, the OS type and the app version. It never sends tenant data or file content.

By default File Manager uses delegated permissions through your Entra ID account, so it can only see and act on content your account already has access to. An optional service-account mode instead uses application permissions that your administrator grants to your own app registration; administrators can disable it by policy. Browsing and searching need standard user access. Copy, move, upload, delete, and restore need the same write permissions you would need to do those actions manually in SharePoint. It runs no background agent in your tenant.

Nowhere. File Manager is a desktop application that runs entirely on your machine. Every API call goes directly from your desktop to Microsoft's Graph API and SharePoint endpoints. File listings, job history, and logs are stored in a local SQLite database on your machine. No file content, metadata, or tenant structure is ever transmitted to us. Beyond Microsoft, the app contacts only our update service and, if you activate Pro, our licensing service. Neither receives tenant data.

Yes. File Manager uses standard OAuth2 / MSAL authentication through Microsoft's identity platform, which fully supports Multi-Factor Authentication, Conditional Access policies, and session lifetime controls. You sign in the same way you do for any Microsoft 365 app. If your organization requires device compliance or location-based access, those policies apply to File Manager exactly as they do to Outlook or Teams.

Usually not. File Manager signs in with delegated permissions (User.Read, Files.Read.All, Files.ReadWrite.All) that Microsoft lets users consent to themselves. An administrator is needed only if your tenant restricts user consent or requires user assignment for the app.

Yes. File Manager can serve AI assistants running on the same computer, such as Claude Desktop, over the Model Context Protocol (MCP). On Free, an assistant can search and list your libraries. With Pro, it can also download, organise and change files and drive sync. File Manager sends nothing to any AI service itself, and IT can turn the feature off or make it read-only by policy.

Yes, with Pro. Pro keeps an account for each client tenant and switches between them in one click. Free keeps one account at a time: signing in with another replaces it and removes the first one's local data from your computer. Nothing is stored server-side, and each tenant's cache lives in its own local database on your machine.
